Here you can find all the important information about the registration
process in terms of fees, dates, and cancellation policy.
PLEASE READ CAREFULLY.
Please note that the registration is operated by the RoboCup Federation. Please direct questions and inquiries about the registration to the RoboCup Federation via email to aprilf@cs.cmu.edu. The local organizing committee is only responsible for the distribution of letters of invitation.
1) Overview on Registration System
We are using for the first time a web-based system, regonline, at
http://www.regonline.co.uk/Checkin.asp?EventId=674075
There is a registration code necessary which will send to the team leaders
of the qualified teams.
Registration proceeds separately for each qualified team and team
members. When registering a team, you need to include the information
for the main "point of contact" for the team. Please note, though,
that the person serving as point of contact is not registered at that
time, but only the team is registered. All team leaders, team members,
and students need to register individually, but they can do so only
after the team has been registered.
REGISTRATIONS ARE ONLY COMPLETE WHEN PAYMENT IS RECEIVED. Credit card
payments are immediately validated. We strongly recommend payment by
credit card. Other available methods of payment take time. No
registration is considered complete until payment has reached the
RoboCup Federation account. INVITATION LETTERS FOR OBTAINING VISA
WILL BE SENT ONLY AFTER REGISTRATIONS ARE COMPLETE.
2) Senior Leagues Registration - Dates and Fees
Qualified teams are organized by league. No senior team can register
after May 18, 2009. Team members can only register after team
registration is complete.
- Early registration: March 9 - April 17

Faculty/staff: 350 Euros
Student: 250 Euros
- Regular registration: April 18 - May 18
Team: 650 Euros
Faculty/staff: 400 Euros
Student: 300 Euros
- Late/onsite registration: May 19 - RoboCup'09

Faculty/staff: 450 Euros

3) Junior Leagues Registration - Dates and Fees
ATTENTION: New Registration Dates for Junior Leagues!
- Early registration: April 17 - June 6 (Dealine Extended!)
Team: 100 Euros
Faculty/Staff: 100 Euros
Student: 100 Euros
- Late/onsite registration: June 7 - RoboCup'09
Team: NOT AVAILABLE
Adult: 200 Euros
Student: 200 Euros
NOTE: Before you can register your team the team must be qualified! Please contact the National Committee for qualification!
Registration as team member is a prerequisite for permission to the
site during hours the site is closed to the public, admission to
certain restricted areas, participation in social events, etc. Parents
accompanying their children who want to visit the site only during
public access and only in areas open to the public, do not need to
register. There is no visitor's admission fee.
We strongly encourage everyone to register as early as possible.
Please avoid on-site registration as much as possible. Nobody will be
admitted to the site and to team areas before being fully registered
and all payments have been received. Depending on demand, long waiting
hours may be incurred with on-site registration. There will be no
exceptions.
4) Registration as Symposium Participant Only - Dates and Fees
It is possible to register as symposium participant only. No prior
registration of a team is required in this case. Symposium
participants are invited to all social events, but may not enter team
areas and do not receive a RoboCup-2009 certificate.
On the registration web site, choose "Register For Symposium Only".
(All team members are automatically admitted to the symposium. Team
members do not need to register separately for the symposium.)

5) Payment Methods
Our registration web site offers the following payment options:
a) Credit Card (Visa, Mastercard, AMEX)
This is the preferred method.
b) Wire Transfer (in Euros), AVAILABLE ONLY UNTIL MAY 8, 2009
c) Check (in Euros), AVAILABLE ONLY UNTIL MAY 8, 2009
Wire transfer and check should be used in exceptional cases only, and
if credit card payment is not possible. Registration will be
considered complete only if the amount due is received IN ITS TOTALITY
IN EUROS on the bank account on or before the respective date (e.g.,
April-17 for early registration). It is your responsibility to ensure
that this will be the case. Wire transfer and check payments will be
deactivated after May 8, 2009.
6) Visas and Cancellation Policy
Participants from many countries do not require a visa for Austria,
but for those who need a visa, here is the policy:
An invitation letter will be sent to a team member once team
registration and team member registration have been completed, i.e.,
payment has been received. There will be no exceptions.
The following cancellation procedure applies:
If:
- The visa application was not successful; and
- The registration was completed (i.e., payment received) before
April 17, 2009; and
- The cancellation is requested before May 18, 2009,
Then:
- The full registration amount will be refunded, except for a handling
charge of 30 Euros per person, and for the team if the team is also
canceled,
Otherwise:
- There is no refund.
